Collection of Your Information

We may collect information about you in a variety of ways. The information we may collect via the Website includes:

Personal Data

Personally identifiable information, such as your name, email address, and telephone number, that you voluntarily give to us when you register with the Website or when you choose to participate in various activities related to the Website. You are under no obligation to provide us with personal information of any kind, however your refusal to do so may prevent you from using certain features of the Website.

AI Starting Point inquiries

When you request an AI Starting Point or ask us to call you, we save your full name, email, optional phone number and comments, submission time, and originating page privately in Supabase. We use your first name to greet you in our emails. We use these details to respond to your request and send our team an email notification through our email delivery provider. Providing a phone number is optional; if you provide one, we may call to help with your request if email gets buried. This form does not subscribe you to automated marketing emails or text messages. When you submit the form, we also store an analytics session reference so our team can view the masked recording and site interactions from that visit alongside your request; no contact details are sent to analytics.

Inquiries and booking records are retained for up to 12 months unless an ongoing client relationship requires a separate record. Team notification emails may remain in our business mailbox under its normal retention practices. You can request access, correction, or deletion by emailing chris@aravise.ai. We record form submissions and booked calls separately, without sending your contact details or comments to analytics or advertising platforms. Optional campaign matching remains a separate choice; any inquiry attribution reference expires after 30 days.

Scheduling your call

We use Cal.com, operated by Cal.com, Inc., to schedule introduction calls. When you choose a time in the scheduler shown on our pages, you enter your name, email address, and optional phone number and notes in Cal.com's booking form. We pass the scheduler only random references, never your contact details: a request reference that connects your booking to your visit and to any request you sent us, the page and button you used, random analytics session and visitor references, and, where applicable, the website experiment group you were shown. Cal.com receives the details you enter, your chosen time and your time zone, adds the call and its Google Meet link to our Google Calendar, and sends you its own confirmation, reminder, reschedule and cancellation emails. Cal.com processes this information under its own privacy policy and may use its own cookies inside the scheduler. The scheduler loads Cal.com's script only when it is shown, and our session recordings do not capture it.

When you book, Cal.com notifies us. We then save your name, email, optional phone number and notes, your appointment time, and the originating page privately in Supabase, as described above for requests, send our team an email notification, and record in our analytics that a call was booked from that visit, linked to its masked recording, without your name, email, phone number, notes or booking link. We update the record if you reschedule or cancel. If you prefer, you can ask us to call you instead of choosing a time. On some pages or links the scheduler may instead be our Google Calendar booking page, where Google processes the booking details you enter.

Derivative Data

Information our servers automatically collect when you access the Website, such as your IP address, your browser type, your operating system, your access times, and the pages you have viewed directly before and after accessing the Website.

Cookies and Similar Technologies

The Website uses cookies and similar technologies (such as local storage and tracking scripts) to help personalise your online experience, understand how the site is used, and identify business interest in our services. A cookie is a small text file placed on your device by a web server. Cookies cannot be used to run programs or deliver viruses to your computer.

You can control or delete cookies through your browser settings, and you can block third-party scripts using browser privacy settings or an ad/tracker blocker. Disabling them will not prevent you from using the Website.

Website Visitor Identification

We use RB2B, a third-party business-identification service, on this Website. RB2B places a script and identifier in your browser and, where it is able to match that identifier against its own data, may tell us the business or professional profile associated with a visit — for example a company name, job title, or work email address — together with the pages viewed. This helps us understand which organisations are interested in our services and follow up with relevant information.

RB2B is operated by GetEmails, LLC (dba Retention.com) and acts as an independent controller of the data held in its own database. Identification is not possible for every visitor and most visits remain anonymous to us. You can ask us to delete any record we hold about you and to stop this processing by emailing chris@aravise.ai. You can also remove yourself from RB2B’s database directly using their opt-out form, or review their privacy policy.

Analytics

We use PostHog for product analytics and masked session recordings, and Vercel Analytics for aggregate traffic measurement. Basic analytics and recordings run independently of the optional advertising measurement choice. Recordings mask all form inputs and exclude embedded frames; we do not record network request bodies, headers, or browser console logs. These services record information such as pages visited, referring site, approximate location derived from IP address, device and browser type, and interactions with the Website. We use this to understand how the Website performs and to improve it.

If you allow optional campaign measurement, we keep a first and most recent paid-ad touch for up to 30 days. That record can include campaign labels and provider click identifiers such as OpenAI's oppref or Google's gclid, gbraid, and wbraid. Provider click identifiers are kept out of general analytics page URLs and custom event properties. Google Ads measurement runs automatically on our public website pages, independently of the optional tracking choice. It measures page visits and uses its own ad identifiers and cookies for advertising. A form submission or booking-button click does not mean an appointment was completed. For visitors in the United States, we also use Google Ads remarketing to show Aravise ads after a visit to our public website. Browser Global Privacy Control and Do Not Track signals disable these remarketing signals. We do not enable remarketing signals for visitors outside the United States. This measurement does not send booking email addresses to Google or enable enhanced conversions. The Privacy choices control in the Website footer applies to optional campaign matching and business visitor identification. You can block Google Ads measurement through your browser privacy settings or an ad/tracker blocker.

You may separately choose to provide your booking email to help us match a completed introduction appointment to your paid-ad visit. This is optional and does not affect your ability to book. We store a protected, keyed match value for up to 30 days and verify the appointment with our scheduling provider or calendar. We do not send your booking email or its match value to ad platforms or analytics. With your permission, a verified appointment and the relevant ad click identifier may be sent to the advertising platform that referred you to measure campaign results. Changing your privacy choice stops future matching and removes the active match record.

Legal Basis (UK/EU visitors)

Where UK GDPR or EU GDPR applies, we rely on our legitimate interests in understanding and improving our Website and in marketing our services to businesses, balanced against your rights and freedoms. Where consent is required for a particular technology, we will rely on your consent and you may withdraw it at any time. You have the right to access, correct, delete, or restrict the processing of your personal data, and to object to processing based on legitimate interests — including profiling for direct marketing — by contacting us at chris@aravise.ai.
